Done well, it confirms their decision to hire you.
Done poorly, it creates friction (or ghosting).
Whether you're a brand new brand photographer or building a high-ticket offer, this is your moment to set the tone for the whole experience.
What Should a Personal Brand Photography Quote Include?
1. The Base Package (Keep It Crystal Clear)
List what’s always included in the starting price:
Hours of coverage
Number of locations
B-roll or behind-the-scenes footage (if included)
Your final gallery delivery timeline
Number of edited images*
Type of licensing that's included
anything else that's included: ie - digital gift
Clarity here sets expectations and showcases your value.
2. Add-On Options That Increase Value (Without Extra Selling)
The best quotes feel like they were custom-built for your client—even if they weren’t. Every quote should offer a few thoughtful upsells, ideally things that help your client feel more prepared, supported, or excited.
Here’s what I include in my Wild Kind quotes:
Additional location or hour
Expedited editing or proofing gallery delivery
Stop motion video or GIF creation
Discounted pre-shoot packages of 10 or 20 extra image bundles
Annual gallery hosting extension
Follow-up shortened refresher shoot exclusively for clients (buy now, save later)
Bonus Tip: If you know you’ll be out of the office, toggle off the rush delivery manually to keep expectations tight and service realistic.
3. The Email that Holds it All
Keep it simple but full of excitement and guidance.
Here's what I include:
A thank-you for their energy + vision
Their custom quote link
List of what they need to do next:
Select your add-ons
Approve your quote
Fill out your questionnaire
Sign the contract
Pay your invoice
Penciled session date reminder + quote expiration date
A gentle “You’re doing the brave thing” affirmation
And always: an open invitation to ask questions
No over-explaining. No jargon. Just easy direction.
4. What to Include in Quote Flow
Whether you use VSCO Workspace (affiliate link) like moi, or another CRM, your booking quote flow should feel seamless.
Here are the steps my clients are guided through:
Once they click that link in their email, as mentioned above, it takes them to their quote, where they can confirm and choose any add-ons they'd like.

The next page will allow them to confirm their preferred payment plan
They'll then be guided onto the basics questionnaire that allows them to share mainly their contact details (we go into a bigger questionnaire later on that dives into the shoot plan ideas)
Next step is for them to sign their contract (information is pulled from the previous steps into their contract through tokens)
And lastly they'll be taken to where they can sort payment (you can set up different ways clients can pay you through the settings in VSCO Workspace.)

Here’s why I cap the number of edited images per package:
Most clients only use ~10–20% of their gallery
Too many choices = overwhelm
More edits = more unpaid time
Curated galleries get used, not ignored
When they do want more, I offer pre-paid image bundles at a discount, which helps them commit early and ensures they’ll actually use what they receive.
Alternatively, they can purchase more from their proof gallery after seeing the shots.
This small shift has changed how my clients engage with their photos and increased revenue without extra sessions.
